Generally, all areas of the City Hall / Garage with the exception of the Police Department areas would be able to be open to the public without the need for a formal escort. Per Chief DeRosier, the FBI and the BCA has requirements that prohibit unescorted personnel from entering the PD area. No one may enter the evidence room, and the MENS locker room should be closed due to the possible need to access that area at any given time by on -duty staff. Alternatively, all areas of Public Works, Administration and Finance Department would be able to be generally open including their subject offices. Staff would ensure that any files / equipment of a sensitive nature (although likely considered public data) would additionally be secured prior to such event. All COBRA, HIPPA, Personnel Files are already under lock. It is however recommended that each non - police department have someone float in their respective areas and which will cause a minor amount of accrued compensatory time for staff required to be on -site on such day. �ti7 Oak Park Heights Request for Council Action Meeting Date September 14, 2010 Time Required: 5 Minutes Agenda Item Title: Award LED Lighting Project to Hunt Electrical; Consider Alternates and Funding. Please see Chris Long's memo as attached. The Council should award the contract to Hunt Electric. Additionally, The ideal aspects of the project include the Base Bid, Alt 1 (wall pack updates) and Alt 3 (recessed LED canopy lighting replacements). This totals $27,782.93. The grant funding is limited to $24,290.00 leaving the balance of $3,493.93 to be funded by the City if it desires to also select the two alternates. The City did seek a quote from Linner Electric to install flagpole lighting upon the north side of the Public Works garage in the amount of $2,350 for a single head light ($3,850.00 for a double) and does follow the drawing / specifications as provided by the City's Architect. This amount is approximately one -half of the initial cost as sought through the PR process with Gephart Elect. (Enclosed) 2. The City has completed all building plan reviews and follow -up requirements with Xcel Energy necessary to receive an electric rebate. The City has received a total amount of $8,070.40 which is higher than the initial estimate of approximately $5,000. (Enclosed copy of checks) 3. The City did request a PR from Jorgenson Construction for elimination of the JERSY Barriers to be installed at the perimeter of the INSIDE of the Public Works storage area. While these barriers may offer some limited protection of the fence, installing these would materially impact useable space inside the fence. The cost savings to the City would be $2,625.00. (enclosed copy of PR 33) 4. At a Council work session held on MAY 25, 2010 Architect Randy Engel reported that there was a slight mismatch and some damage on the wall coverings in the council chambers. He stated the options were to leave it as is, ask the contractor to re-do it, or ask for a cash settlement. The council did not provide any direction or preference on which option they wished to pursue. If there is a preference at this time it should be clarified. 5. Mr. Engel will provide the City Council an update on the lighting in the Council Chamber as well as available to answer other questions about the above items or other items /updates. Provide Barn Doors for shielding. Fixture shall be mounted on the north side of the building near the west end. The top of the fixture shall not extend above the top of the roof parapet. Coordinate exact mounting location and aiming with the architect. b. The proposed fixture and model number is Sterner PL12- 400PMH -SP- 277- C- SW- DP- WM -BD. The color shall be gray to match the Gray finish of the Hubbell Laredo Compact Cutoff (LCC) fixture that is currently on site. c. Add a control relay to Relay Panel RP -PW located near Panel PWL1 in the Public Works Shop. Fixture shall be wired with #12AWG, #12 AWG Ground, in 1 h" EMT Conduit.
